Conditions of Hire  at April 2016       

Please take the time to read these conditions before making your booking through the Booking Secretary – Thank You

Charges               The charges vary according to the time of year and whether or not the nature of your booking qualifies for a discount.  The Booking Secretary will advise you of the actual cost.  The Rate in Winter is higher to cover additional heating costs.

Deposit                 A firm booking may be made upon completion of the booking form with a 25% deposit.  The outstanding amount is due at the end of the event or upon receipt of an invoice.  If music is to be played please tell the Booking Secretary who will advise on the type of Performance Licence necessary which needs to be obtained by the Hirer.  The deposit will be refunded if a cancellation of an event is made before seven days of the booked date.     Timings By-Laws state that any function on a Saturday night must end by 11.30 with the Hall cleared by midnight.  The Hirer will be responsible for ensuring that no unnecessary noise is caused or allowed in or around the premises or on the green.

Facilities               The hiring includes tables, chairs, crockery, cutlery but not glasses.  Please speak to the Bookings Secretary regarding layout of room etc.  Extra tables and chairs may be available.

Kitchen                Access and use of the Kitchen is included in the Hire   Please speak to the Bookings Secretary if you intend to use it

Alcohol                 Any alcohol sold on the premises must be covered by a Temporary Events Notice, obtained by the Hirer, from Braintree District Council Licencing .  The Notice must be displayed. N.B.  Knowingly selling or serving alcohol to a person under the age of 18 is an offence.

Responsibilities   As the Hirer you will be responsible to ensure sufficient supervision throughout the whole booking period to ensure the facilities are used in a reasonable manner.  Reading and abiding by Procedures outlined in the AVH Fire Risk Assessment, available on the AVH website is a key condition of Hire

Capacity                As a guide the following maximum occupation numbers should not be exceeded: 

Seated 60 at dining tables      Standing 120

 

Damage and Accidents     Damage to the property or injury is always a possibility. The Hirer shall indemnify AVH for the cost of repairs of any damage done to any part of the property including the curtilage or the contents of the building which arise as a result of the hiring.  The hirer is responsible for the cost of anything broken or items missing.  The Hirer shall not do anything which will invalidate the Hall’s insurance or any licence.  If anyone sustains an injury the Accident Book, located in the Kitchen, must be completed and the Booking Secretary notified as soon as possible

Cleaning               The Hirer is responsible for leaving the Hall, Kitchen and Toilets clean.  Chairs must be stacked with care and all furniture returned to its original position.
